Associating Tags With Files

Once you have created file tags, you can associate them with the appropriate files or folders. You can associate tags with one file at a time or with multiple files simultaneously.

If you associate certain tags with a folder, all of the files in that folder will be associated with those tags.

How to Associate Tags With Files—Add File Dialog

  1. Create a new file (e.g., topic, alias file, image). The Add File Dialog opens. (For more information about how to add different types of files, see Add File Dialog.)
  2. Expand the Attributes section at the bottom of the dialog.
  3. If you want to apply file tags, expand the Attributes section at the bottom of the dialog. Next to the File Tags field, click The browse ellipsis button opens to more options. and select the file tags you want to apply.
  4. Click OK.

How to Associate Tags With Files—One File at a Time

  1. Do one of the following, depending on whether you want to associate a tag with a project file or content file:
    • Open the Project Organizer.

      OR

    • Open the Content Explorer.
  2. Locate and right-click on the file. From the context menu select Properties. The Properties dialog for the file opens.
  3. Click the File Tags tab.
  4. From the Tag Type field, select a tag type. The file tag sets using that tag type are listed below. The first file tag set is selected and the associated tags are shown on the right.
  5. If you want to see tags for a different file tag set, select it.
  6. For each tag that you want to associate with the file, click the check box next to the tag. A check mark appears in the box.
  7. Click OK.

How to Associate Tags With Files—Multiple Files Using the File List Window Pane (Content Files Only)

  1. Select View > File List or press CTRL+SHIFT+J on your keyboard.
  2. (Optional) From the Filter list in the window pane, select the type of files to view.
  3. Select the files that you want to associate a tag with. You can hold the SHIFT key to select a range, or you can hold the CTRL key to select individual items.
  4. In the local toolbar, click Display properties for the selected item.. The Properties dialog opens.
  5. Click the File Tags tab.
  6. From the Tag Type field, select a tag type. The file tag sets using that tag type are listed below. The first file tag set is selected and the associated tags are shown on the right.
  7. If you want to see tags for a different file tag set, select it.
  8. For each tag that you want to associate with the file, click the check box next to the tag. A check mark appears in the box.
  9. Click OK.

How to Associate Tags With Files—Multiple Files Using Split View

  1. Do one of the following, depending on whether you want to associate tags with project files or content files:
    • Open the Project Organizer.

      OR

    • Open the Content Explorer.
  2. In the Project Organizer or Content Explorer, click the Show Files button Click to show or hide files within a folder.. The Project Organizer or Content Explorer splits into two halves (left and right).
  3. On the left side of the split Project Organizer or Content Explorer, select the folder containing the files you want to associate with tags.
  4. On the right side of the split Project Organizer or Content Explorer, select the files. You can hold the SHIFT key to select a range, or you can hold the CTRL key to select individual items.
  5. In the local toolbar, click Display properties for the selected item.. The Properties dialog opens.
  6. Click the File Tags tab.
  7. From the Tag Type field, select a tag type. The file tag sets using that tag type are listed below. The first file tag set is selected and the associated tags are shown on the right.
  8. If you want to see tags for a different file tag set, select it.
  9. For each tag that you want to associate with the file, click the check box next to the tag. A check mark appears in the box.
  10. Click OK.

How to Associate Tags With Folders

  1. Do one of the following, depending on whether you want to associate a tag with a project folder or content folder:
    • Open the Project Organizer.

      OR

    • Open the Content Explorer.
  2. Locate and right-click on the folder. From the context menu select Properties. The Properties dialog opens.
  3. Click the File Tags tab.
  4. From the Tag Type field, select a tag type. The file tag sets using that tag type are listed below. The first file tag set is selected and the associated tags are shown on the right.
  5. If you want to see tags for a different file tag set, select it.
  6. For each tag that you want to associate with the folder, click the check box next to the tag. A check mark appears in the box.
  7. Click OK. The tag is now associated with all files in that folder.
